Job Purpose:
The Administrative Officer will be responsible for overseeing the day-to-day operations of the association's office, ensuring that administrative processes run smoothly, and supporting the organization's overall mission and objectives. This role requires strong organizational, communication, and problem-solving skills to manage tasks such as scheduling, correspondence, office management, and supporting staff and members. The Administrative Officer will act as the first point of contact for internal and external inquiries and contribute to maintaining a positive and efficient work environment.
Job Duties and Responsibilities:
- Manage office supplies and inventory, ensuring that the office is well-stocked and organized.
- Oversee the maintenance of office equipment, ensuring it is functional and liaising with service providers for repairs as necessary.
- Maintain the office environment, ensuring a clean, professional, and welcoming workspace.
- Assist in planning and organizing association events and projects including booking venues, catering, and guest lists.
- Handle event registrations, logistics, and coordination with vendors and external partners.
- Support event promotion by preparing materials, managing registrations, and communicating with attendees.
- Assist with budget tracking and financial record-keeping, ensuring invoices and receipts are processed and filed in a timely manner.
- Liaise with the finance team or accountants to support financial reports and payments.
- Oversee Association’s Facebook page and other channels when it becomes available.
- Receive and record donations from donors.
- Create monthly reports for management on a regular basis.
Job Requirement:
- Some degree in administration, or related disciplines.
- Proven experiences in administration, or similar position.
- Good practical experience with office management software like Ms. Office and Internet & Email.
- Good command at English communication and with close attention to detail.
- Possess friendly and honest attitude and be able to work as a team.
- Self-motivated, proactive, and dependable.
- Positive attitude and professional demeanour.
- Be able to work under pressure and less supervision.
