General purpose of work: Be responsible for provide administration for internal guest with highest level of service possible in an efficient, courteous and professional manner by following the professional standards of aggressive hospitality and adhering to guidelines and procedures. I. MAIN DUTIES: • Support other functions in the team: update candidates for recruitment, administrative support for training, translation of documents, work-out administrative documents... • To follow up and implement accommodation services for foreign employees: Visa services, Work permit, • Residence permits… • Arrange administrative works before the new employee on board: Desks, Computers, Telephone, Internet, Email, Stationery, Phone card, Name card, Meal card, ENT card… • Book stationery for HR-Administrative Department and the company every month. • Book air ticket, accommodation for BOD and staff when going away on business. • Follow up the issuance uniforms. • Manage the fixed asset which is issued to staff of the whole company. • Co-ordinate with other colleagues in organization of the events for the company, including: Birthday party and rewarding outstanding staff monthly/quarterly/yearly, Year End Party, Yearly staff outing, Gathering, farewell party as requested by BOD. • Guide employees to return items and equipment that the company has issued to the relevant departments before resign. • Receive requests of ordering name cards from the department, coordinate with marketing in designing and work with suppliers to print. • Be the telephone operator when the receptionist is absent. • Process the payment of administrative expenses: monthly telephone, meals and parking… • Update the all costs incurred by HR department. • Update contact list of all Management and HODs. • Follow up the validity of each license and certificate to process to renew or extend before it is expired. • Prepare the application for renew, extend, amend licenses and certificates. • Submit the application to the government agency and follow up until the licenses granted. • Notarize documents as necessary. • Performs any additional duties and responsibilities that may be assigned by the company management. II. QUALIFICATIONS: • College or University Degree in Business Administration, English, Psychology, or Accounting. • Certificates for Training and Assessment. • Good reading, writing and oral proficiency in the English language. • Excellent customer relations skills. • Good computer and network skills. • Excellent interpersonal skills. • Knowledge of Microsoft products.
