We are looking for a proactive and highly organized individual to join our team as the Merchant Director's Assistant. The ideal candidate must be fluent in both English and Chinese (spoken and written).
Key Responsibilities:
- Provide administrative support to the Merchant Director by managing their calendar, scheduling meetings, and coordinating day-to-day activities.
- Oversee the front office operations, ensuring smooth day-to-day functioning and professional interaction with visitors and tenants.
- Assist in managing merchant relationships, including communication, contract management, and addressing any merchant inquiries or issues.
- Handle customer service inquiries and concerns, ensuring high levels of satisfaction from condo residents and visitors.
- Act as a liaison between merchants, customers, and internal teams, ensuring effective and timely communication in both English and Chinese.
- Prepare reports, presentations, and correspondence in both languages.
- Assist with the planning and execution of events or promotions related to merchants or community services within the condo.
- Monitor the quality of customer service and ensure any issues or complaints are addressed promptly and efficiently.
- Coordinate with various departments to ensure that front office, merchant, and customer service operations are running smoothly.
- Maintain and update records, files, and documentation related to merchants and customer service operations.
Key Qualifications:
- Fluency in both English and Chinese (written and spoken) is required.
- Proven experience in an administrative or assistant role, preferably within a hospitality, real estate, or retail setting.
- Strong interpersonal skills with the ability to manage relationships with merchants, customers, and colleagues.
- Exceptional organizational and time-management abilities, with the capacity to handle multiple tasks simultaneously.
- Excellent communication skills, both verbal and written, in English and Chinese.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office management tools.
- Experience in customer service and managing front office operations is highly preferred.
- Ability to handle sensitive information with discretion and professionalism.
